How To Create & Manage Custom Fields
This article will take you through the steps to create custom fields. These custom fields can be used for you to collect and add important information to your ambassadors profiles such as personal information and other parameters. These fields can also be used to share important program information to ambassadors such as team lead contact information, announcements, and more. Once created, each custom field will be personalized for each ambassador. You will have access to edit & view all ambassador profile information, but only each individual ambassador will have access to view their own information.
Step 1: Creating Your Custom Fields
From your account home screen, click into the “Settings” menu category. Select “Custom Fields” from the subcategory menu and click “+ ADD FIELD” from the top right-hand corner. Once selected, the custom field parameters will be shown including field name, display name, description, and sequence. We’ll go into more detail about what these parameters mean, and how you should be using them.
What are all of these parameters and how should I use them?
Field Name: This is where you input the name you’d like this area to be identified in a database record. Whatever you set this field name as, is what will populate in any SL reporting. Field names should be capitalized with no spaces between words. Ex: PERSONALLINK, CONTACTNAME, or TEAMLEAD.
Display Name: This is what will be displayed to brand and event managers on each ambassador profile (we’ll go into more detail about this below), as well as in app to ambassadors. Ex: Personal Link, Contact Name, or Team Lead.
Description: This is what will be shown in the app to ambassadors directly below the display name. If there’s anything related to the display name that you want to explain further to ambassadors, this is where you would do it.
Ex: Team Lead (display name)
Your team lead is … (description)
Sequence: This is where you determine the order in which the fields are displayed on ambassador profiles as well as directly in the app. If the sequence number is lower, then the field will show up first. If the sequence number is higher, then the field will show up last. Ex: Sequence = 1 will populate before Sequence = 2.
Once you have filled out all of these parameters, click on “UPDATE” to save the custom field. Repeat the process above until you have added all of the custom fields you would like to have displayed on ambassador profiles and in app.
Step 2: Ambassadors - Editing Custom Fields & Profile Information
From your account home screen, click into the “Ambassadors” menu category. Here you will see a list of all of the ambassadors in your program. This page will give you a snapshot of each ambassador showing you their name, email address, location, etc. If you click a specific ambassador name, a tab will pop out showing you the ambassador’s full profile information.
Once clicked into the ambassador profile, you are able to see parameters associated with what they’ve done in the app (such as sales, challenges completed, and rewards redeemed). If you continue to scroll down on the profile, you will see all of the custom fields that have been added in. Click into each “Value” box and update the ambassador profile with the appropriate information that you would like to be displayed.
Now all of your created custom fields are added and linked to ambassador profiles! Make sure to go into each individual ambassador profile and update their information accordingly. If the custom field doesn’t apply to every single ambassador, make sure to leave the field blank on their profile.
